Upload Your Menu (AI Scan or Manual)
Get your full menu into FluteOS using the AI photo scan tool or by entering items manually — ready for digital menus and tableside ordering.
Overview
FluteOS maintains a central menu catalog that powers your digital QR menus, tableside ordering flows, and AI conversation knowledge base. This guide covers both the AI photo scan method (fastest) and manual item entry (most control).
Prerequisites
- A current physical or PDF menu, or high-resolution photos of your menu boards
- Item names, descriptions, prices, and allergen info (for manual entry)
Method 1: AI Menu Scan (Recommended)
The AI scan tool extracts menu items, descriptions, categories, and prices from photos or PDFs automatically.
1. Open Menu Management
Go to Menu Management > Import > AI Scan.
2. Upload your menu source
Click Upload File and select one of the following:
- A PDF of your current menu (best results)
- JPG or PNG photos of your menu pages (up to 10 files per scan)
- A URL to a publicly accessible menu page (FluteOS will scrape and parse it)
3. Review the AI extraction results
FluteOS processes the upload and presents a structured preview of extracted items grouped by category. Review each item for accuracy:
- Verify item names and descriptions are correct
- Confirm prices match your current menu
- Fix any items where the AI misread text (common with handwritten menus or decorative fonts)
- Add allergen tags to items where the AI didn't detect them
Tip: For menus with seasonal specials or daily boards, use the AI scan to load your core menu first, then add specials manually (see Method 2 below).
4. Assign items to categories
If your menu uses custom category names (e.g., "Small Plates" instead of "Appetizers"), rename the categories in the extracted preview before importing. Drag items between categories to reorganize.
5. Click Import
Confirmed items are added to your menu catalog. You'll see them under Menu Management > Items.
Method 2: Manual Item Entry
1. Open Menu Management
Go to Menu Management > Items > Add Item.
2. Fill in item details

| Photo | Optional — strongly recommended for ordering flows |

| Tags | Internal tags (e.g., vegan, gluten-free, bestseller) |
3. Add modifiers (optional)
Click Add Modifier Group to define customization options (e.g., "Temperature": Neat / On the Rocks / With Water). Modifiers appear in the tableside order flow for this item.
4. Save the item
Click Save. The item is immediately available in your menu catalog and will appear in any linked QR menu or order experience.
After Uploading
- Go to QR Experiences > New Experience and choose Menu or Order as the flow type to attach your catalog to a QR code.
- Set item availability (enable/disable items by day or time) under Menu Management > Availability.
- Review menu performance after your first week in Analytics > Menu.
