QR Experiences

Create QR codes that launch AI-powered brand experiences — surveys, activations, loyalty captures, QR ordering, tableside payments, and interactive digital menus — directly from a guest's phone.

Overview

QR Experiences are the foundation of FluteOS. Each experience is a QR code tied to an AI-powered conversation, ordering flow, or interactive activation that guests trigger from their own device — no app download, no friction. A guest scans the code, interacts with your brand, and you capture their profile and preferences in the background.

Use QR Experiences for tableside ordering, tap-to-pay checkout, digital menu browsing, event check-ins, loyalty sign-ups, product demos, or any touchpoint where you want a richer guest interaction than a static web page.

Key Concepts

Experience — A named flow consisting of a welcome prompt, an AI conversation or interactive sequence, an optional capture form, and a completion action (redirect, coupon, payment confirmation, etc.).

QR Code — A generated image linked to a specific experience. Codes are permanent by default; you can rotate them without losing analytics history.

Flow Type — FluteOS supports five flow types:

Survey Fixed question set with optional branching logic
Activation Full-screen immersive brand moment (video, animated overlay, reveal)
Order Tableside QR ordering with cart, modifiers, and payment
Menu Read-only or interactive digital menu with search and filters

Capture Form — An optional gate before or after the experience that collects name, email, phone, and consent. Collected data populates the Guest Management module automatically.

How It Works

Creating an Experience

  1. Go to QR Experiences > New Experience.
  2. Choose a flow type: Conversation, Survey, Activation, Order, or Menu.
  3. Name the experience and set its brand (if you manage multiple brands under one org).
  4. Configure the AI script, menu content, or upload your activation assets.
  5. Add a capture form if guest data collection is required.
  6. Set a completion action — redirect to a URL, show a coupon code, display a thank-you screen, or confirm an order.
  7. Click Publish. FluteOS generates a QR code and a shareable link instantly.

QR Ordering and Tableside Experiences

The Order flow type turns any QR code into a full tableside ordering system. When a guest scans the code at their table:

  • They see your full digital menu with item images, descriptions, allergens, and modifiers.
  • They build a cart, specify modifiers (e.g., "no ice", "extra spicy"), and submit the order directly to your kitchen display or POS system.
  • Payment can be collected at submission (tap-to-pay via Stripe) or deferred to tab settlement.

Configure order flow settings under QR Experiences > Order Settings:

  • Table assignment — Static (code is tied to table 12) or dynamic (guest enters their table number on scan).
  • Payment mode — Pay now, pay later, or staff-initiated tab.
  • Menu scope — Full menu or a filtered subset (e.g., bar menu only for bar QR codes).

Digital Menus

The Menu flow type creates a branded, mobile-first menu browser without ordering capability. Use this for:

  • Read-only menu display at venues where ordering is staff-handled.
  • Tap-room tasting notes and pairing suggestions.
  • Event menus that update in real time without reprinting.

Menus pull directly from your FluteOS menu catalog. Update items in Menu Management and all linked QR menu experiences reflect the change instantly.

Tap-to-Pay

When payment mode is set to Pay now, FluteOS displays a Stripe-powered checkout at order submission. Guests pay directly on their phone using Apple Pay, Google Pay, or any card. Receipts are sent via SMS or email depending on guest preference and opt-in status.

Configuring the AI Conversation

In the Script tab, write your opening prompt and define the conversation parameters. FluteOS's AI layer handles branching and follow-up questions automatically. You can:

  • Set topic boundaries to keep the AI on-brand
  • Define capture triggers (collect email after a guest expresses interest)
  • Add product or menu knowledge so the AI can answer questions accurately

Downloading and Deploying QR Codes

From the experience detail page, click Download QR to get a print-ready PNG or SVG. Use the size selector to generate codes optimized for table tents, coasters, wristbands, bottle neckers, or digital screens. QR codes can also be embedded in email campaigns using Copy Embed Link.

Monitoring in Real Time

The experience card shows live scan counts, order submission rates, conversation completion rates, and capture form submissions. Click into any experience for a full analytics breakdown including revenue per scan for order flows.

Tips

  • Test your experience on your own device before deploying — confirm the flow, payment, and completion screen render correctly on mobile data (not Wi-Fi).
  • For busy tableside deployments, set the order flow to Pay later so guests aren't slowed by payment friction mid-service.
  • Use the duplicate function to clone an experience as a starting point for new activations or seasonal menus.
  • Attach a Conversation flow to your Menu QR codes so guests who want recommendations can ask the AI directly from the menu screen.
